Terms and Conditions

These terms and conditions (“Terms”) govern the agreement between you (“Client” or “you”) and Jambo Bwana Expeditions (“Jambo Bwana Expeditions” or “we” “us” or the “Company”) for the provision of safari services in Tanzania.

By booking a safari with us, you acknowledge and agree to be bound by these Terms. Please read them carefully.

  1. Booking and Payment:

1.1 By making a booking, the lead named person, the client, on the booking agrees on behalf of all persons detailed on the booking that:

  • He/she has read these terms and conditions and has the authority to and agrees to be bound by them;
  • He/she is over 18 years of age.

1.2 To secure your booking, a non-refundable deposit of:

  • $175 or 10% [low season – September to November and April – May]
  • $350 or 20% [high season – June to August and from December to March]

…of the total safari cost (whichever is greater) is required upon booking confirmation. The deposit is deducted from the total safari cost.

1.3 Payment Methods: We accept payment by credit card, bank transfer, or any other payment method as agreed upon by both parties. See payment process details here.

1.4 Final Payment: The remaining balance of the total safari cost is due 90 days before the safari start date. Failure to make the final payment on time may result in the cancellation of your booking.

1.5 If the client makes the initial safari booking less than 90 days before the start of the safari, they are required to pay the full amount of the safari cost, as stated on the quote, at the time of booking and will not have the option to pay in installments.

  1. Pricing:

2.1 We reserve the right to amend the price of unsold holidays at any time and correct errors in the prices of confirmed holidays within 7 days of the booking.

2.2 The price of your holiday is subject to change after you have booked only in certain circumstances. These include changes in the price of the carriage of passengers resulting from changes to the cost of fuel or other power sources, the level of taxes or fees imposed by third parties including tourist taxes, landing taxes or embarkation or disembarkation fees at ports and airports, or exchange rates, any or all of which may mean a variation in the price of your holiday after you have booked. However, there will be no change within 20 days of your departure.

2.3 Please note that travel arrangements are not always purchased in local currency and some apparent changes have no impact on the price of your travel due to contractual and other protection in place.

  1. Currency Exchange Rates and Conversion Fees:

3.1 Currency of Payment: All safari booking prices and payment amounts are quoted in USD, unless otherwise specified.

3.2 Applicable Exchange Rates: If the client chooses to make payments in a currency different from USD, the applicable exchange rates will be determined at the time of payment. Exchange rates may vary based on prevailing market rates and may be subject to fluctuations.

3.3 Currency Conversion Fees: Clients making payments in a currency different from USD may be subject to currency conversion fees charged by their banks or payment service providers. Such fees are the responsibility of the client and are not included in the safari booking prices.

3.4 Client Consent: By choosing to make payments in a currency other than USD, the client acknowledges and agrees to bear any currency conversion fees and potential variations in the final payment amount due to exchange rate fluctuations.

3.5 Currency Discrepancies: In the event of any discrepancies between the quoted safari prices in USD and the amount received due to currency conversion, the actual amount received in USD by Jambo Bwana Expeditions will be considered as the valid payment.

3.6 Refunds and Currency Conversion: In the event of a refund due to cancellation or any other reason, the refund amount will be made in USD, and any currency conversion fees incurred during the refund process will be borne by the client.

3.7 Currency Exchange Notification: Jambo Bwana Expeditions will make every effort to notify clients of applicable exchange rates and potential currency conversion fees at the time of payment. However, it is the client’s responsibility to stay informed about current exchange rates and any fees that may apply.

Please note that exchange rates are subject to market fluctuations, and Jambo Bwana Expeditions is not responsible for any financial losses or discrepancies resulting from changes in exchange rates or currency conversion fees charged by banks or payment service providers.

  1. Client Cancellation and Refunds:

4.1 If you or any other member of your party decides to cancel your confirmed booking, you must notify us in writing. Your notice of cancellation will only take effect when we receive it in writing and it is acknowledged by Jambo Bwana Expeditions. Please note proof of postage (whether by mail or email) is not proof of receipt. You will be responsible for applicable cancellation charges up to the maximum shown below unless otherwise advised.

4.2 The cancellation charge is calculated as all non-refundable items plus a percentage of the remaining total cost payable by the person(s) canceling. Should a Client cancel a booking 90 days or less prior to the date of departure of the tour for any reason, the client shall be liable to pay a cancellation penalty. The cancellation penalty is calculated by having regard to the nature of the booking, length of notice of cancellation, and reasonable potential to find alternative customers. Having regard to the aforementioned factors, the following percentages may be forfeited by the customer in respect of the arranged tour price due to a no-show based on the number of days between receipt of the cancellation notice and the date of the departure:

  • More than 90 days before safari start date: 20% to 30% of the total safari cost, including loss of deposit and non-refundable items
  • Between 60 to 89 days before safari start date: 40% to 50% of the total safari cost, including loss of deposit and non-refundable items
  • Between 30 to 59 days before safari start date: 60% of the total safari cost, including loss of deposit and non-refundable items
  • Less than 30 days before safari start date: 100% of the total safari cost, including loss of deposit and non-refundable items

4.3 We strongly recommend you take out suitable insurance to cover you for possible eventualities that would require you to cancel your holiday.

4.4 The Company shall be entitled to apply any portion of the non-refundable deposit paid by the client toward any cancellation penalty payable in terms hereof.

4.5 When a client cancels a booking that requires a non-refundable item, such as a special permit, the cost of the non-refundable item will be held and will be forfeited, as these will have been purchased well ahead of time.

4.6 Any fees charged by banking institutions during the refund process will be for the client’s account.

4.7 We aim to process refunds within 30 days of the acknowledged cancellation between the Client and the Company.

5. Health and Safety:

5.1. It is your responsibility to ensure that you are aware of the health requirements for your travel destinations and to obtain the appropriate vaccinations or medications prior to departure.

5.2. You must disclose any pre-existing medical conditions or disabilities that may affect your ability to participate in the safari or tour. We reserve the right to refuse service to any individual whose health or physical condition is deemed to be a risk to themselves or others.

5.3. In the event of an emergency, we will endeavor to provide all necessary assistance; however, any costs incurred for medical evacuation, hospitalization, or treatment will be your responsibility.

5.4. We recommend that all travelers obtain comprehensive travel insurance that includes coverage for medical expenses, personal injury, loss or theft of personal belongings, and trip cancellation or interruption.

5.5. We follow all local and international health and safety guidelines to ensure a safe and enjoyable experience. However, we cannot be held liable for any illnesses, injuries, or accidents that may occur during your safari or tour.

5.6. It is essential to adhere to all safety instructions provided by our guides and staff throughout the safari or tour to ensure your safety and the safety of others.

6. Travel Insurance:

6.1. It is mandatory for all travelers to have comprehensive travel insurance that covers the entire duration of the safari or tour. Your insurance should cover personal accident, medical expenses, emergency evacuation, loss or theft of personal belongings, and trip cancellation or interruption.

6.2. You must provide proof of valid travel insurance upon request before your safari or tour begins. Failure to provide proof of insurance may result in the cancellation of your booking without refund.

6.3. We are not responsible for any costs incurred as a result of inadequate or incomplete insurance coverage.

7. Special Requests:

7.1. We will make every effort to accommodate special requests, such as dietary requirements, room preferences, or special occasions. However, we cannot guarantee that all requests will be fulfilled.

7.2. Special requests should be made at the time of booking and must be confirmed in writing. If a special request cannot be met, we will inform you as soon as possible.

8. Passports, Visas, and Documentation:

8.1. It is your responsibility to ensure that you have a valid passport, visa(s), and any other required documentation for your travel destinations.

8.2. Your passport must be valid for at least six months beyond the date of your return.

8.3. We cannot be held responsible for any issues, delays, or denied entry due to incorrect or missing travel documents.

9. Privacy and Data Protection:

9.1. We are committed to protecting your privacy and will only collect, use, and share your personal information in accordance with our Privacy Policy.

9.2. By making a booking, you consent to the collection and use of your personal information for the purposes of processing your booking, providing you with services, and complying with legal requirements.

9.3. We will not share your personal information with third parties for marketing purposes without your explicit consent.

10. Complaints and Disputes:

10.1. If you have any complaints during your safari or tour, please notify your guide or our representative immediately so that we can address and resolve the issue as quickly as possible.

10.2. If your complaint cannot be resolved locally, please submit your complaint in writing within 14 days of the end of your safari or tour.

10.3. We will respond to all complaints within 30 days of receipt and will work to resolve any disputes amicably. If a resolution cannot be reached, any disputes will be subject to the jurisdiction of the courts of Tanzania.

11. Code of Conduct:

11.1. You are expected to conduct yourself in a respectful and courteous manner at all times during the safari or tour.

11.2. We reserve the right to remove any traveler from the safari or tour if their behavior is deemed to be disruptive, offensive, or harmful to themselves or others.

11.3. No refunds will be issued for any portion of the safari or tour that is missed due to misconduct.

12. Photography and Media:

12.1. We may take photographs or video footage during your safari or tour for promotional and marketing purposes.

12.2. By participating in our safari or tour, you consent to the use of your image or likeness for these purposes.

12.3. If you do not wish to be included in any promotional material, please notify us in writing prior to the start of your safari or tour.

14. Limitation of Liability:

14.1. Our liability to you for any loss, damage, or injury arising from your safari or tour shall be limited to the amount paid by you for the safari or tour, except where such loss, damage, or injury is caused by our gross negligence or willful misconduct.

14.2. We are not liable for any indirect, incidental, or consequential losses or damages, including but not limited to loss of enjoyment, loss of income, or loss of opportunity.


15. Force Majeure:

15.1. We shall not be liable for any failure to perform our obligations under these terms and conditions if such failure is due to circumstances beyond our control, including but not limited to natural disasters, acts of terrorism, war, strikes, pandemics, or government restrictions.


16. Governing Law:

16.1. These terms and conditions shall be governed by and construed in accordance with the laws of Tanzania.

16.2. Any disputes arising from or in connection with these terms and conditions shall be subject to the exclusive jurisdiction of the courts of Tanzania.


17. Amendments:

17.1. We reserve the right to amend these terms and conditions at any time without prior notice. The latest version of the terms and conditions will be available on our website or upon request.

17.2. Your continued use of our services following any amendments constitutes your acceptance of the revised terms and conditions.

17.3. It is your responsibility to review the terms and conditions regularly to ensure you are aware of any changes.
